Preparation

  • We recommend using PowerPoint for your slides in a 16:9 aspect ratio. There is no requirement to use Symposium branding on your presentation slides.
  • Embedded videos can be played during your presentation; however, we recommend having these downloaded as a backup. The AV team may also request that video files are provided separately.
  • We suggest embedding all fonts used in your PowerPoint presentation when saving the file, as some fonts may not be supported on other devices.
  • Please test all videos, animations, hyperlinks, and embedded content before submitting your presentation.
  • Please name your presentation file using the following format:

    Paper Number_Surname e.g. 123_Smith

Uploading

  • You are welcome to upload your PowerPoint presentation via the button above at any time. Please follow the prompts carefully and enter all information correctly so the AV team can easily identify and prepare your presentation for the day of your session.
  • Please ensure you upload your final presentation. Due to the volume of presentations received, we are unable to make amendments once a presentation has been uploaded.
  • All presentations must be received by our team at least 48 hours prior to your scheduled presentation time, either via the upload portal or onsite through the speaker preparation team.

Onsite

  • Each room is equipped with a laptop, projector, screen, lectern, and microphone.
  • Presentations delivered in the main plenary room will be recorded and may be shared after the Symposium. To ensure you can be seen and heard clearly on camera, please present from the lectern. Concurrent sessions outside of the main plenary room will not be recorded.
  • If you are submitting your presentation onsite, please do so with the speaker preparation team at least 48 hours prior to your scheduled presentation time. If you have already uploaded your presentation via the portal, there is no requirement to visit the speaker prep desk.
  • Even if you have uploaded your presentation in advance, please bring a copy on a USB drive or ensure it is saved in a secondary location that can be easily accessed online as a backup.
  • Presenters may use their own laptops; however, it is their responsibility to ensure they have the appropriate adapters and connections. Please note that any additional time required for setup will be taken from your allocated presentation time.
  • On the day of your presentation, please arrive at your presentation room 10 minutes before the start of your session so the Chairperson can ensure all presenters are ready.
  • At the conclusion of your presentation, and if time permits, the Chairperson will facilitate a Q&A session for the remainder of your allocated time. Questions may be taken from both the Symposium app and the audience and will be read aloud for you to answer. If you do not wish to participate in a Q&A session, please advise the Chairperson in advance and they will close the presentation following your talk.
  • If you require assistance onsite, please speak with the registration team or speaker preparation team, or press the assistance button located in your presentation room.
  • Please note that the speaker preparation team is expected to be very busy onsite assisting with last minute enquiries and presentation uploads. To avoid queues and save time, we strongly recommend uploading your presentation via the online portal prior to arriving at the Symposium.

PowerPoint tips (not compulsory)

  • Choose a font style and size that can be easily read from a distance.
  • Keep text concise and minimise the amount of text on each slide.
  • Use visuals and graphics to help communicate your message.
  • Keep slide backgrounds simple and consistent throughout your presentation.
  • Use high contrast between background and text colours.
  • Avoid using ALL CAPS, as it can be difficult to read.
  • Avoid placing text over busy images or colourful backgrounds, as this can reduce readability.

Poster presentations

Preparation

  • Posters must be portrait orientation, A0 size (841 mm × 1189 mm) and single-sided.
  • Please ensure your poster can be attached using Velcro, as this is how posters will be mounted to the poster boards.

Printing

  • Presenters are responsible for arranging and covering the cost of printing their own poster.
  • We have partnered with the supplier below to provide poster printing services. Posters ordered through this supplier will be printed at a special Symposium rate of NZ$40.50+GST per poster (A0 200gsm), and delivered directly to the venue.
  • To place an order, please contact the supplier directly using the details below and provide:
  • All orders must be placed before Tuesday 14 July NZST to ensure printing and delivery to the venue before the Symposium.
  • Please note that printing services will not be available onsite.

Onsite

  • Presenters are responsible for mounting their own posters in the exhibition area. Poster boards will be clearly numbered and Velcro will be attached to your board for convenience.
  • Your poster board number will be emailed to you prior to the Symposium. If required, the registration team can also confirm your allocated poster board number onsite.
  • Presenters are expected to be at their poster during their allocated poster session to discuss their work and answer questions from fellow attendees.
  • If you require assistance onsite, touch base with the team at the registration desk.

Poster Session 1

  • Posters may be mounted no earlier than 3.00pm on Sunday 19 July and must be removed by 6.00pm on Tuesday 21 July. Any posters not removed by this time will be removed and disposed of by the Symposium organisers.

Poster Session 2

  • Posters may be mounted no earlier than 8.00am on Wednesday 22 July and must be removed by 1.00pm on Friday 24 July. Any posters not removed by this time will be removed and disposed of by the Symposium organisers.

Poster tips (not compulsory)

  • Lead with your key message – Make your main finding or takeaway immediately clear to attendees.
  • Keep text concise – Avoid large blocks of text and focus on the information that matters most.
  • Use a clear and logical layout – Organise content so readers can quickly navigate your poster.
  • Make your title stand out – Ensure it is large, informative, and visible from a distance.
  • Prioritise visuals – Use figures, graphs, images, and diagrams to communicate your research effectively.
  • Highlight your most important findings – Ensure key results and conclusions are easy to identify at a glance.
  • Choose readable fonts – Use simple fonts and ensure text can be read from 1 - 2 metres away.
  • Use colour thoughtfully – Maintain good contrast and use colour to guide attention, not distract from content.
  • Leave plenty of white space – Avoid overcrowding and create a clean, accessible design.
  • Include a QR code or contact details – Provide a way for attendees to access further information, publications, or connect with you after the event.

General for all presenters

  • All presenters must be registered to attend the Symposium.
  • Please ensure all content, images, and data included in your poster are appropriately credited and that any required permissions have been obtained.
  • Presentation times, rooms, and poster board allocations are subject to change. Please refer to the final programme and any updates provided by the Symposium organisers.
